What Is Physical Asset Verification?
Physical Asset Verification (PAV) is the process of systematically confirming that the assets recorded in an organisation's asset register actually exist in the field — and that the attributes recorded for each asset (location, condition, specification, identification) accurately reflect physical reality. It bridges the gap between the theoretical asset register and the operational world.
Why Physical Asset Verification Matters
Asset registers degrade over time. Assets are installed without being added to the register. Others are decommissioned or relocated without records being updated. Nameplates become unreadable. Equipment is identified incorrectly in the CMMS. Over years and decades, the divergence between register and reality can become significant — with real consequences for maintenance effectiveness, financial reporting, insurance, and regulatory compliance.
Key Objectives of a PAV Programme
- Confirm physical existence and location of all recorded assets.
- Identify assets present in the field but absent from the register ("ghost assets in reverse").
- Confirm that technical attributes (manufacturer, model, specification, condition) are accurately recorded.
- Apply or renew unique asset identification tags where absent or illegible.
- Gather condition data to support maintenance planning and capital investment decisions.
PAV Techniques
Modern PAV programmes use a range of techniques to maximise coverage and data quality. Barcode and RFID scanning enables rapid, accurate field data capture with minimal transcription error. Mobile data collection apps allow field teams to photograph assets, record attributes, and flag discrepancies in real time. GPS and Bluetooth location technology can automatically record asset location during the survey. For large, complex asset populations, UAVs (drones) are increasingly used to survey assets in difficult-to-access locations.
